The Regal Information Technology Pty Ltd Project Lifecycle consists of four phases:
PROJECT INITIATION
The Initiation Phase is the first phase in any project. In this phase, a business problem (or opportunity) is identified and a business case in which the best solution is defined. The Project Charter and the preliminary Project Scope Statement is completed, which outlines the objectives, scope and structure of the new project.
Regal Information Technology Pty Ltd is able to provide an estimate of the cost of the services to complete the project planning phase, execution phase and closure phase.
Approval is then sought to move into the detailed planning phase.
PROJECT PLANNING
Once the scope of the project has been defined in the Project Charter, the project enters the detailed planning phase.
Analysis (As Required)
A workshop or series of meetings will be conducted to gather information related to the current client business requirements.
Design
The proposed solution will be presented in a High Level Design document produced by Regal Information Technology Pty Ltd. This will be derived from the findings of the Analysis workshop.
Project Plan
The Project Plan which supports the High Level document involves the creation of a:
- Schedule Plan (outlining the activities, tasks, dependencies and timeframes)
- Resource Plan (listing the labour, equipment and materials required)
- Financial Plan (identifying the labour, equipment and materials costs)
- Quality Plan (providing quality targets, assurance and control measures)
- Risk Plan (highlighting potential risks and actions taken to mitigate them)
- Acceptance Plan (listing the criteria to be met to gain customer acceptance)
- Communications Plan (listing the information needed to inform stakeholders)
- Procurement Plan (identifying products to be sourced from external suppliers)
At this point, the project has been planned in detail and is ready to be executed. Approval is then sought to move into the project execution phase.
PROJECT EXECUTION
This phase is split up into several stages:
Pilot Stage Implementation
A Pilot Stage is conducted to investigate the likelihood of agreed solution option addressing the business problem and the final recommended solution / configuration is put forward.
User Acceptance Testing
Once the recommended solution / configuration is approved, the project can move into the User Acceptance Testing Stage.
Production Implementation
Once all Testing has been completed and the solution has been accepted by the business, then the solution is rolled out.
Documentation and Training
Full Build documentation is created from early on in the Execution Phase. This will allow for the reconstruction of the solution at any stage – based upon the detailed documentation.
Administration training is also conducted as required to ensure that the client is fully conversant with the solution and the impact on the business.
Once the Execution Phase has been completed, approval is then sought to move into the project closure phase.
MONITORING AND CONTROLLING
While the activities and tasks are being executed, a series of management processes are undertaken to monitor and control the deliverables being output by the project. This includes the identification of changes, risks and issues, the review of deliverable quality and the measurement of each deliverable being produced against the acceptance criteria. Once all of the deliverables have been produced and the customer has accepted the final solution, the project is ready for closure.
Regal Information Technology Pty Ltd employs a full time Project Manager and Project Administrator to manage and administer all projects. All project phases and milestones are formally reviewed and closed. Status reporting is carried out on a weekly basis.
PROJECT CLOSURE
Project Closure involves releasing the final deliverables to the customer, handing over project documentation, terminating supplier contracts, releasing project resources and communicating the closure of the project to all stakeholders. The last remaining step is to undertake a Post Implementation Review to quantify the overall success of the project and list any lessons learnt for future projects.
